Treasure Hunt Retreat - Terms & Conditions

March 13-16, 2026 | Margaret River, Western Australia

 

BOOKING & PAYMENT

Payment Terms

All retreat pricing is in AUD and includes:

  • 3 nights accommodation in beachfront properties

  • All meals (breakfast, lunch, dinner daily)

  • Twice-daily yoga and meditation sessions

  • Private 1-hour treasure hunt session with Em

  • Evening restorative yoga and yoga nidra

  • Access to yogi library and retreat materials

  • Beach access and free time activities

Please note: transportation to and from the destination is not included.

Full Payment Required

Given this retreat is within 60 days of departure, full payment is required at time of booking to secure your place.

Payment options:

  • Single payment (full retreat cost)

  • For couples sharing: Option to pay together or separately

Payment methods accepted:

  • Bank transfer

  • Secure payment link via Wix

Booking Confirmation

Your booking is confirmed once:

  1. Full payment is received

  2. You receive booking confirmation email with booking reference number

 

CANCELLATION & REFUND POLICY

Cancellation Terms

If you cancel, we will make reasonable efforts to rebook your spot.

  • If successfully rebooked: Refund of full payment minus $200 administrative fee (regardless of when we rebook)

  • If not rebooked: No refund provided (we cannot recover costs or lost income)

Refunds (if applicable) processed within 14 days of successful rebooking.

 

NO-SHOWS (failure to arrive on March 13, 2026):

  • 100% NON-REFUNDABLE - no refund provided

 

How to Cancel

To cancel your booking:

  1. Email Em at info@littlegimmer.com.au as soon as possible

  2. Include your booking reference number

  3. Cancellation is effective from the date we receive your written notice

  4. We will notify you if we are able to rebook your spot

 

TRANSFERABILITY

Transfer to Another Person

If you're unable to attend, you may transfer your booking to another person before February 20, 2026, subject to approval.

Transfer fee: $50 per person administrative fee

Process:

  1. Email Em with replacement guest details before February 20, 2026

  2. Replacement guest must complete health questionnaire

  3. Transfer must be approved and completed before Feb 20

  4. Replacement guest agrees to all terms and conditions

Why this deadline: Transfers must be completed before the accommodation balance is paid (Feb 20) to ensure new guests can be properly registered with accommodation providers.

Transfer to Different Date

Bookings cannot be transferred to a different retreat date.

 

IF WE NEED TO CANCEL

Cancellation by Little Glimmer

If I must cancel the retreat due to unforeseen circumstances:

  • You will be notified as soon as possible

  • Full refund of all payments made will be provided

  • Refunds processed within 14 days of cancellation notice

Not liable for:

  • Travel expenses you have incurred

  • Accommodation bookings outside of retreat accommodation

  • Other costs related to your retreat attendance

 

TRAVEL INSURANCE 

Please consider purchasing comprehensive travel insurance that covers:

✓ Trip cancellation
✓ Medical coverage
✓ Emergency evacuation
✓ Any unforeseen circumstances (illness, family emergency, etc.)

Why this matters:

  • Protects your investment if unexpected circumstances prevent your attendance

  • Covers situations beyond our cancellation policy

  • Available through most insurance providers or travel booking websites

We are not liable for any costs if you choose not to purchase travel insurance.

 

HEALTH & FITNESS REQUIREMENTS

Physical Activities

This retreat includes:

  • Gentle yoga practices

  • Restorative yoga

  • Light walking

  • Beach activities (optional)

Your responsibilities:

  1. Disclose medical conditions: Inform Em of any medical conditions, injuries, or physical limitations at time of booking

  2. Consult healthcare provider: Seek medical advice before participating if you have any health concerns

  3. Practice within limits: Modify or stop any activity that causes pain or discomfort

  4. Create safe space: Ensure your practice space is safe (if any at-home preparation is involved)

Participation at Your Own Risk

You acknowledge that:

  • All physical activities carry inherent risk of injury, strain, or discomfort

  • You participate in all activities at your own risk

  • You are responsible for your own physical and emotional wellbeing

  • This is not medical treatment and does not replace professional healthcare

 

AGE REQUIREMENT

All retreat participants must be 18 years or older.

 

DIETARY REQUIREMENTS

Meal Accommodations

We provide healthy, nourishing meals throughout the retreat. Please inform us of:

  • Food allergies

  • Dietary restrictions (vegetarian, vegan, gluten-free, etc.)

  • Food preferences or dislikes

Notification deadline: Please provide dietary requirements within 7 days of booking or at least 2 weeks before retreat.

We will do our best to accommodate all dietary needs. However, please note that extensive special requirements may not always be possible.

 

ARRIVAL & DEPARTURE

Schedule

Arrival: Friday, March 13, 2026 at 3:00 PM
Departure: Monday, March 16, 2026 at 10:30 AM

No Partial Refunds

No refunds are provided for:

  • Late arrival

  • Early departure

  • Missed sessions or activities

  • Unused portions of the retreat

 

ACCOMMODATION DETAILS

What's Provided

  • Private or shared rooms as per your booking

  • All linens and towels provided

  • Access to shared living spaces

  • Kitchen facilities (meals provided)

Your Responsibilities

  • Treat accommodation with respect

  • Report any damage immediately

  • Follow house rules provided at check-in

  • Leave accommodation in clean, tidy condition

Damage: You are responsible for any damage to accommodation beyond normal wear and tear. Repair costs will be charged to you.

 

RETREAT CONDUCT & COMMUNITY

Creating a Safe Space

This is an intimate retreat with a small group of participants. We ask all participants to:

✓ Respect others' privacy and personal boundaries
✓ Maintain confidentiality about personal stories shared in the group
✓ Arrive on time for scheduled sessions
✓ Silence mobile phones during sessions
✓ Be mindful of noise levels, especially early morning and evening
✓ Refrain from alcohol or recreational drugs during retreat
✓ Treat all participants and facilitators with kindness and respect

Removal from Retreat

We reserve the right to remove any participant whose behaviour:

  • Disrupts the retreat experience for others

  • Violates these terms and conditions

  • Poses a safety risk to themselves or others

  • Involves harassment, discrimination, or threatening behaviour

If removed: No refund will be provided and you must arrange your own return transportation.

 

INTELLECTUAL PROPERTY

Program Materials

All materials provided during the retreat are the intellectual property of Emily Cook trading as Little Glimmer, including:

  • Handouts and worksheets

  • Recorded sessions or practices

  • Presentations

  • Any other retreat materials

You may not:

  • Reproduce, distribute, or share materials without written permission

  • Record sessions without explicit permission

  • Use materials for commercial purposes

 

PHOTOGRAPHY & MEDIA RELEASE

Use of Images

By attending the retreat, you grant Little Glimmer permission to:

  • Take photographs and videos during the retreat

  • Use images featuring you for marketing and promotional purposes

  • Share content on website, social media, and marketing materials

Your privacy:

  • We will not share personal contact information

  • You may request specific photos not be used by informing us

  • Group photos may be taken; participation is optional

 

LIABILITY WAIVER & RELEASE

Assumption of Risk

By booking this retreat, you acknowledge and agree that:

  1. You participate voluntarily and at your own risk

  2. Physical activities carry inherent risks including injury, strain, or discomfort

  3. Online/remote elements (if any) may be affected by technology issues beyond our control

  4. You are responsible for your own physical and emotional wellbeing

  5. This is not therapy - Em is not a licensed therapist or medical professional

Release of Liability

You hereby release, waive, discharge, and covenant not to sue Emily Cook trading as Little Glimmer, and any affiliated parties from:

  • Any and all liability, claims, demands, or causes of action

  • Loss, damage, or injury (including death)

  • That may arise from your participation in this retreat

Indemnification

You agree to indemnify and hold harmless Emily Cook trading as Little Glimmer from any loss, liability, damage, or costs arising from your participation in this retreat.

This waiver is binding upon your heirs, executors, administrators, and assigns.

 

EMERGENCY SITUATIONS

During the Retreat

  • Emergency contact details will be provided at check-in

  • Em will be available throughout the retreat

  • Local emergency services: 000 (Australia)

Your Responsibilities

  • Provide emergency contact information at booking

  • Inform Em immediately of any health concerns that arise

  • Have your own travel/health insurance

  • Bring any necessary medications

We cannot provide:

  • Medical advice or treatment

  • Emergency medical response beyond calling for help

  • Reimbursement for medical expenses

 

WEATHER & FORCE MAJEURE

Weather

Retreat activities may be modified due to weather conditions. We will do our best to provide alternative indoor activities if needed.

No refunds provided for:

  • Poor weather during retreat

  • Modified activities due to weather

Force Majeure

Little Glimmer is not liable for inability to perform services due to:

  • Natural disasters

  • Pandemic or public health emergency

  • Government restrictions or mandates

  • War, terrorism, or civil unrest

  • Any other circumstances beyond reasonable control

In such cases:

  • We will notify you as soon as possible

  • Full refund of payments made OR

  • Option to transfer to future retreat date (if available)

 

DATA PRIVACY

Personal Information

We collect personal information including:

  • Name, contact details, emergency contacts

  • Health information (for safety and modification purposes)

  • Dietary requirements

  • Payment information

How We Use Your Information

Your information is used to:

  • Process your booking and payment

  • Communicate about the retreat

  • Ensure your safety and wellbeing during retreat

  • Comply with legal requirements

Privacy Protection

  • We will not share your personal information with third parties without consent

  • Exception: Necessary service providers (accommodation, catering)

  • Your information is stored securely

  • You may request to view or delete your information

 

GENERAL TERMS

Entire Agreement

These terms and conditions constitute the entire agreement between you and Little Glimmer regarding your retreat booking.

Changes to Terms

We reserve the right to update these terms and conditions. Any changes will be communicated to confirmed participants.

Severability

If any provision of these terms is found unenforceable, the remaining provisions remain in full effect.

Governing Law

These terms are governed by the laws of Western Australia, Australia.
